PRESTIGE STRATA MANAGEMENT.

We provide all of the following services as requested (and more!) to make sure the day-to-day operations of the building runs smoothly and efficiently. We understand that Strata Companies are not just business operations, they are also the home of many owners and a source of income which is why we make sure all our services work together towards producing beautifully presented common areas for residents, owners and visitors to enjoy while maintaining a friendly and harmonious atmosphere in the building.

Administration Management

We assist and advise the Strata Council on all matters relating to Strata Management.

Secretarial
• Maintain strata roll and minute book
• Maintain correspondence file
• Record and retain notices required under the Act
• Maintain custody of common seal
• Attend to routine communication
• Refer to Council correspondence, enquiries, complaints and requests for information from proprietors, residents and others who may have dealings with the Strata Company

Meetings

We will prepare and assist in running and holding all Annual General, Council and Extraordinary General meetings. We utilise the latest software products to conduct these meetings smoothly and efficiently. We will prepare, produce and distribute notices and minutes of meetings. We can arrange venues for to hold meetings and also offer a boardroom in our own office, which can be used to hold Council and other small group meetings.

By-laws and legal

• Answer queries from the Council about By-laws
• Implement policies on By-laws
• Serve notices to comply with By-laws
• Attend the scheme for By-law enforcement
• Prepare and issue notices for breaches of By-laws
• Assist the Strata Company in tribunal or court proceedings
• Arrange drafting of By-laws, amendments to By-laws and By-law reviews
• Liaise with lawyers and give instructions in accordance with resolutions of the Strata Company
• Arrange for registration of By-laws
• Provide copies of By-laws to Councilors, proprietors, tenants and letting agents

Financial Management

We will establish the strata companies’ own bank account and investment accounts with our dedicated banking facilities. We can provide utility billing services for electricity, gas and water in order to recover charges from the owners that have been directly billed to the Strata Company, if your building is equipped with sub-metering facilities.

Accounts

• Issue notices for and receipt payments of strata levy contributions
• Pay creditors
• Provide financial reports as agreed
• Provide statutory reconciled accounts including balance sheet, statement of income and expenditure and contribution status report
• Assist auditor in providing accounts and records for audit
• Assist with preparation of administrative fund budget
• Assist with preparation of sinking fund budget
• Calculate proposed levies based on the Administration and Reserve Fund budgets
• Liaise with creditors and contractors
• Prepare additional financial reports or reports to specific requirements
• Monitor and arrange for recovery of contribution arrears

We offer an extensive range of ley payment methods as listed below:

• Phone payments by credit card or Direct Debit
• BPAY®
• Cash, Cheque and EFTPOS at Australia Post branches
• Cheque by mail.

Insurance

• Prepare and lodge insurance claims direct with nominated insurance companies
• Arrange insurance valuation as required
• Obtain quotes for insurance renewal
• Submit quotes to Council and renew insurances as instructed
• Seek instructions to renew insurance
• Renew insurance policies in accordance with instructions received
• Administer claims and other activities involved in minimisation of loss, liaison with loss adjustors and other related activities

Other Services

• Provision for after hours emergency telephone service
• Obtain quotes for and arrange for routine maintenance and repairs to common property
• Arrange building inspections and reports on non-routine repairs
• Obtain quotes and liaise with suppliers re non-routine repair, maintenance, renewal or replacement of common property
• Arrange security and concierge services
• Arrange building services
• Arrange access for contractors
• Review essential services such as fire safety and health
• Solicit building condition surveys and scheduled maintenance programs
• Arrange and supply archiving facility
